SOS: What goes into a Crisis Communications Plan?

By: Kristen Crutchley, Communications Account Director

If today’s headlines teach us anything, it’s that reputations can be made or broken in an instant. Whether it’s a natural disaster, a data breach, a PR issue, or an internal scandal, how a company responds in the face of a crisis can significantly impact its future. That is why making crisis communications a key part of your organization’s overall strategy is essential.

What is Crisis Communications?

Crisis communications involve strategies and tactics an organization uses to manage and share information to ensure all necessary stakeholders are well-informed, mitigate damage, maintain trust, and restore normalcy as soon as possible. Effective crisis communications help control the narrative and prevent misinformation, while demonstrating that the company is taking responsible actions. Every company’s crisis communications plan might look different, but today we’re outlining the essentials to help you get started!

Planning

A comprehensive crisis communication plan should be in place before a crisis hits, and outlines multiple scenarios that your organization might encounter and would consider a “crisis”. This plan should include predefined stakeholders, step by step protocols, designated spokespeople, and templates for various communications, including channels that each should be distributed. Take it a step further and build out multiple email distribution lists, including media contacts, external stakeholders, and internal stakeholders.

Efficiency

When a crisis hits, timing is crucial. Respond quickly to control the narrative, but not before you have all the facts first to make the most sound communication decisions. Ensure that your initial response acknowledges the situation, provides reassurance, and outlines the steps your organization is taking to address the issue.

Remember, not every situation is a crisis, and not everything warrants a response. While efficient communications during a true crisis is vital, it’s equally important to avoid turning a manageable issue into something bigger than it needs to be. Overreacting can escalate a situation unnecessarily, causing more harm than the initial problem. Assess each situation calmly, respond proportionately, and ensure your actions and communications are aligned with the actual level of urgency.

Clarity

Messages should be clear, concise, consistent across all platforms, and stick to the facts. Clarity ensures that all stakeholders receive the same information and reduces the risk of misunderstanding. It also helps your brand build trust with your audience by being transparent and avoiding “fluff”.

Crisis communications is not just about external messaging; it’s also about internal coordination. Your employees need clear guidance on how to proceed during a crisis, and operations may need to be adjusted or halted to ensure consistency. A well-prepared crisis communication plan outlines roles and responsibilities, ensuring that everyone knows what to do to minimize disruption and maintain productivity.

Empathy

Acknowledging the concerns and emotions of those affected by a crisis is vital to a successful crisis communications strategy. Demonstrating empathy and taking responsibility where appropriate can turn a negative situation into an opportunity to rebuild trust and strengthen relationships.

Assessment

After the crisis has passed, it’s important to evaluate the effectiveness of the communication efforts and adjust your crisis communication plan accordingly. Learning from each crisis can strengthen your preparedness for future challenges. Consider how the situation has impacted your brand reputation and identify any outstanding questions or concerns that still need to be addressed. Engage with clients and stakeholders directly, monitor social media comments, and review digital platforms to gauge reactions and ensure all issues are thoroughly addressed.

No organization is immune from crises, but those that prioritize crisis communications are better equipped to navigate these challenging situations. By protecting your reputation and maintaining stakeholder trust, effective crisis communications serve as a crucial lifeline that helps organizations emerge stronger and more resilient. Investing in a robust crisis communication strategy is not just about damage control, it’s about building a foundation of trust and credibility that can withstand even the most challenging situations.
